Clubs and Communities Funding and Supplies Application

  • Criteria Eligible for Funding

    Please note that a club must obtain official Students’ Association recognition prior to applying for Club and Community funding. Once recognized a club may apply for funds for the following:

    1.Opportunities to cultivate on-campus activity throughout the year.

    2.Office or Event Supplies

    3.Networking or Social Events

    4.Club Meetings

    5.*Fundraisers

    *The Students' Association must be provided with a charities registration number, official name, contact, and address before considering any fundraising support for charitable benefits.

  • Criteria NOT Eligible for Funding

    The following will not be considered for Clubs and Communities funding:

    1.Any course, activity, or service to be provided by a professor, instructor, or any person(s) employed by Algonquin College will not be considered for funding.

    2.Funding will not be provided for membership to other associations or political parties.

    3.Funding will not be provided for academic requirements.

    4.Funding will not be approved for events outside of Ottawa/Perth/Pembroke.

    5.Events on campus will be given priority.

    6.Funding will not be provided for physical resources (i.e equipment) without prior consent from the Students’ Association.

  • Rules and Amounts

    The Students’ Association reserves the right to refuse any application and retains sole discretion to determine approved funding amounts in order to accommodate all request received and anticipated throughout the year.

    -*Funding may be used to put on events to raise money for charities or not for profits; however funding cannot go directly to outside organizations.

    -Clubs may use 20% of their total funding ($100) on non-event items. These may include website design, office supplies etc.

    -Applicants cannot benefit financially from this funding.

    -The club must spend the majority of funds on on-campus events.

    -The club may apply for funding to cover the cost of food and beverage(s) for an event; however this cannot exceed $200 per term. Club funding cannot be spent on any alcohol related products.

    -All Funding requests must be approved by the Clubs and Communities Coordinator before purchase.

  • Funding Procedure

    1.Each club may apply for funding by filling out attached Clubs and Communities Funding Application. All applicants must include detailed and official estimates of all expenses from the suppliers and/or companies involved. Receipts must be submitted to receive funding.

    2.When approved, the president or spokesperson of the club is responsible for picking up the cheques from the Students’ Association and delivering to their suppliers. A cheque may be made out to the club’s name if the group has a valid bank account.

    3.Each club may apply for up to $500 in funding per term. Clubs may request more based on their events, but each request above the clubs $500 will be determined by funds that are available. Study Groups may apply for $50 max per term.

    4.The Clubs and Communities Coordinator must know in writing of your event and what the funding is for at least 4 weeks before the event.

    5.The Clubs and Communities Coordinator will contact the clubs Spokesperson within 3 business days about whether your request has been approved. If you are unable to cover the cost of your event beforehand and wait to be reimbursed you may speak to the Clubs and Communities Coordinator about getting funding prior to your event.

    6.You may submit the funding request form and your receipts after your event, but only if the Coordinator was aware of the event AND the type of funding needed 7 business days before the event.

  • An incomplete application form will not be processed
